How we collect, use and protect the personal information of Summit registrants, partners and website visitors.

Who we are

The Work Abroad Annual Summit is operated by Workium Ltd ("Workium", "we", "us", "our"), a company registered in England and Wales.

For the purposes of the UK GDPR, the Data Protection Act 2018 and Kenya's Data Protection Act 2019, Workium is the data controller of personal information collected through theworkabroadsummit.co.uk and any related Summit activities.

The information we collect

We collect information you provide directly when you register your interest, apply for a portal account, subscribe to updates, or communicate with us. This may include your name, email address, phone number, employer, role, country of residence, and any professional information relevant to the Summit's purpose.

We collect limited technical information automatically when you visit the Website, including IP address, device type, browser type, referring page, and pages viewed. This information is collected using strictly necessary and, where you consent, analytics cookies.

How we use your information

We use your personal information to administer registrations and portal accounts, verify partner and exhibitor eligibility, communicate about the Summit and follow-up editions, issue confirmations and receipts, run matchmaking between candidates and licensed agencies where you have opted in, and comply with our legal obligations.

Where you have opted in, we may send you news and updates about future editions and related Workium services. You may unsubscribe at any time from any marketing email or by writing to us.

Lawful bases

We process personal data on the following lawful bases: performance of a contract (when you register or hold a portal account), consent (marketing communications, non-essential cookies), legitimate interests (event operations, security, fraud prevention, service improvement), and compliance with legal obligations.

Sharing your information

We do not sell your personal information. We share your information only with: (a) verified partner agencies you have expressly consented to be matched with; (b) service providers acting on our behalf under written contract, including payment processors, email service providers and hosting providers; (c) authorities where legally required.

Where sharing involves a transfer of personal data outside the UK or Kenya, we rely on appropriate safeguards including UK International Data Transfer Agreements or Standard Contractual Clauses.

How long we keep information

We retain registration and event-attendance information for up to seven years after the relevant edition to meet accounting, audit and safeguarding requirements. Marketing preferences are retained until you withdraw consent. Portal account information is deleted within twelve months of account closure unless a longer retention period is required by law.

Security

We apply appropriate technical and organisational measures to protect personal data, including encryption of data in transit, hashed password storage, role-based access controls to administrative systems, and periodic review of our security practices.

Your rights

You have the right to access your personal information, to correct inaccurate data, to request deletion where legally permitted, to restrict or object to processing, to receive a machine-readable copy of your data, and to withdraw consent at any time.

You also have the right to complain to the UK Information Commissioner's Office (ico.org.uk) or the Office of the Data Protection Commissioner of Kenya (odpc.go.ke).

The Website and the Summit are not directed at children under 18. We do not knowingly collect data from anyone under 18.
